Zoom has become a fundamental part of running a business in 2024. Zoom allows businesses to host meetings virtually from various locations with multiple participants. With over 300 million daily meeting participants, Zoom has become a tool used by companies big and small.
Even though Zoom is one of the most globally utilized meeting programs, it doesn’t mean it comes without risks., such as Zoom-bombing. Zoom-bombing occurs when attendees who were not invited to the meeting disrupt it and gain access to sensitive data. Follow these top 5 tips to securely use Zoom in 2024.
1. Assign a Meeting Host and Co-Host
The meeting host can change security settings and assign a co-host. If the host cannot attend or needs to step out, the co-host will be able to take over the meeting for them. Ensuring there is a co-host means participant management, room security, and screen-sharing capabilities remain even if an unforeseen incident occurs.
2. Password Protection
Always put a password on your Zoom meetings. This will help keep unwanted guests from entering your room and causing disruption. Apply this feature to your Zoom meeting ID to automatically send the passcode to all scheduled meetings.
3. Enable the Waiting Room Feature
The waiting room is a secure way to ensure only those you invite to the meeting are able to attend. The host will be notified when an attendee is in the waiting room and will have the option to remove or admit the guest. Keep the waiting room feature on as a default setting before every meeting. This way, even if you forget, the host will be able to turn on the waiting room feature mid-meeting.
4. Lock Your Meeting
As soon as all your attendees have logged into the meeting, lock the meeting to keep out any unwanted guests. To do so, click the security menu and check “lock meeting”. You can use this menu to enable other security features before or during your meeting.
5. Expel Participants
If an attendee is disrupting the meeting with activities such as screen recording without permission, expelling them is a simple way to secure the meeting. To expel a participant, select “Participants” at the bottom of the screen and then click “More” next to the name of the participant you wish to expel. Then, click “Remove”. The participant you have removed will not be able to join the meeting again.
